Pavarotti Pub: bookings a staff member approves, and a concert programme that updates itself

Pavarotti Pub is a pub and restaurant in Drammen with buffets, Christmas parties and live music. We built a website where a staff member approves every booking, and where the concerts from Facebook come in by themselves.

From request to confirmed booking

  1. The guest picks a buffet and a day

    The form only shows days and times the kitchen serves, and nothing is reserved yet.

  2. The person in charge gets one e-mail

    It has all the details and three buttons, and a reminder comes every hour until someone answers.

  3. Approved, then the guest gets an answer

    The booking goes into the calendar, and the guest gets a confirmation with the date and time.

What we changed

Booking that follows the kitchen

The form only shows days and times the kitchen serves the buffet. Ordinary tables and concert nights are no longer reserved, and the form tells guests they can just drop in.

A staff member approves first

The person in charge gets one e-mail with the buttons Approve, Decline and Call the guest. Nothing is held, and the guest gets no confirmation, until someone has approved.

One overview on the phone

Staff have a link on their phone that shows what is waiting for an answer, what is happening today and what is coming up. They don’t need to log in.

Concerts come in from Facebook

The events on the pub’s Facebook page come in to the website several times a day, with text and image. If the same concert is posted twice, it is shown only once.

The result

The guest only sees times that can be booked, and the confirmation only comes once someone at the pub has said yes. If it is full, a polite decline goes out, and the programme on the website matches Facebook.

Bookings are collected in one overview, and the decision is made with one tap in the e-mail. The old site was replaced without touching the e-mail, and old addresses send visitors on to the right new page. The owner changes buffets, photos and seasons himself. See also restaurants and pubs.

We run the website and the jobs around it: fetching concerts from Facebook, reminders about unanswered requests and a daily check for bookings that have got stuck. The alerts come to us, not to the pub.
