Users, licences and safe sign-in
Each person gets the right licence and two-step sign-in, so a leaked password is not enough. Shared files are gathered in Teams, so they do not disappear when someone leaves.
Questions we often get
Will we lose old e-mail when we move to Microsoft 365?
No, not when it is done in the right order. Old e-mail is copied over before new mail is moved. The old solution is only closed once everything has been checked.
What is a shared mailbox in Outlook?
A shared mailbox is a common inbox, for example post@company.no, that several employees read from their own Outlook. Everyone sees what has come in and what has been answered. It normally needs no licence of its own.
Why does our e-mail end up in our customers’ spam?
Most often because the domain is not set up so the receiver can check that the e-mail really comes from you. That also applies to e-mail from the website and the accounting program. With the e-mail check you see in under a minute whether the domain is set up the way Gmail and Outlook require, and what needs fixing.
Which Microsoft 365 licence does a small business need?
The e-mail-only licence (Exchange Online) is enough for someone who only needs e-mail and calendar. Business Basic adds Teams, storage and the Office programs in the browser and on the phone, and Business Standard also gives Word, Excel and Outlook installed on a PC or Mac. Business Premium adds extra security and management of phones and PCs. Licences can be mixed, so we go through it person by person, and you do not pay for more than each user needs.
What do we do with the e-mail when an employee leaves?
Turn the inbox into a shared mailbox or forward it, and remove the licence. Then you do not lose enquiries to the old address, and you do not pay for a user who no longer exists.
Do we have to switch to Microsoft 365?
Not always. If you are happy with Google Workspace, or one person only needs an e-mail address, what you have is often enough. Then we say so plainly and help you tidy up instead.
Can the contact form stop sending e-mail at the turn of the year?
Yes, if the form sends through a Microsoft 365 account with an ordinary password. Microsoft switches off that way of sending by default at the end of December 2026. The form seems to work, but the e-mail never arrives.
What happens when Gmail stops fetching e-mail from the company address?
From January 2027 Gmail no longer fetches e-mail from other accounts. If you read post@company.no inside an ordinary Gmail, new e-mails stop showing up there, without an error message. Move to forwarding or a proper e-mail service before that date. How to do it.
Should a small business have Copilot in Microsoft 365?
Copilot can summarise meetings and write drafts in Outlook and Word. It gives most when the files are tidy and the access rights are right, otherwise it finds things it should not. We recommend tidying up first and testing on a few users before everyone gets it.
How do we get e-mail on the company’s own domain?
You need a domain, for example company.no, and an e-mail service such as Microsoft 365 or Google Workspace connected to the domain. The connection is made in the settings at whoever holds the domain, and that is also where you set it up so receivers can trust your e-mail. If you already have e-mail elsewhere, the old mail is moved over before you switch.
Can SharePoint be used as an intranet in a small business?
Yes, SharePoint can work well as a simple intranet with news, routines and shared documents. It is included in the Microsoft 365 business subscriptions. What makes it useful is order from the start: few areas, clear names and the right access, or it quickly becomes a mess nobody can find their way around.
Is the Microsoft e-mail licence enough, or should the business choose Microsoft 365 Business?
If employees only need e-mail and calendar, the e-mail licence is enough. If they need Word and Excel installed on the PC, choose Microsoft 365 Business. The e-mail licence gives a mailbox and Outlook in the browser, but not the Office programs or Teams. We first ask what each person opens in a week, and you can use different licences for different employees.
